Terms & Conditions

At Vega Event Services, we value our customers and strive to provide the best service possible. To ensure transparency, the following terms & conditions apply to all orders placed with us. When you process an order with us, you agree to and understand all the policies listed below. During checkout, you are required to agree to these policies. Vega Event Services reserves the right to refuse services on a situational basis. Vega Event Services reserves the right to cancel orders based on availability and accessibility.

Pickup Policy

All rental items must be prepared for pickup after your event is over. Rental items must be returned in their original condition when our team members go to retrieve them. A cleaning fee may be applied if any items are brought back in dirty conditions, so we ask you to ensure all items are wiped down if necessary. Our team members will double-check that all items required to be returned are picked up. 

Damaged or Lost Items

Any damaged items must still be returned to us and may be subject to a repair fee depending on the severity of the damage. Severe damage to any rental items will be subject to full replacement costs, including tax and administrative fees. We will contact you and provide a receipt/invoice for the transaction.

Late Policy

You are expected to have all rental items ready for pickup at the time of your event end time. Therefore, please ensure that the time you input for your order accommodates enough time for you to prepare the items for pickup. We will allow a ten-minute grace period starting from your event end time. In the event that our team members arrive and our rental items are not ready for pickup, you will be charged a late fee of $10 after the ten-minute grace period and $30 for every thirty minutes our team has to wait after that. This fee, if incurred, will be provided to our staff for their inconvenience.

 

For further clarity, as an example, if your event end time is at 11:00 PM, our team members will arrive at or shortly after that time. If at 11:10 PM (after the grace period) our rental items are not ready to be packed up and loaded, a late fee of $10 will be incurred. If by 11:40 PM, our items are still not ready, you will incur an additional $30 late fee, totaling $40. Until our team members can pack up all our items, the late fee will continue to incur every thirty minutes

Cancellation Policy

We understand that not all events make it past the planning stage. The following cancellation policy applies to all orders placed with us:

  • Cancellation Requests

    • Cancellation requests must be submitted, up to 72 hours before the event date, in writing via email to [email address] and must include the order details and reason for cancellation. Any orders canceled within 72 hours of the event date will not be subject to a refund.

    • In cases where the service or product has already been fully serviced or delivered, no refund will be provided. Any disputes regarding cancellations and refunds will be subject to the terms outlined in our policies and the contract you signed.

  • Weather and Emergency Exceptions
    • If weather prohibits service in outdoor locations or in the event of a medical emergency before the event start time, we will hold your funds as a rain check. The rain check is valid for two months starting the day after your original event date. However, we can not accommodate for any exceptions after the event start time.
  • Service Completion
    • Once our team sets up at your event site, our service is considered complete, and you are still expected to provide us with the rental items at the end of your event time. If an emergency during the event requires your absence from the site, please contact us immediately, as we will try our best to work with the situation.

Refund Policy

A 50% refund of the total purchase price will be issued upon approved cancellation. The remaining 50% is non-refundable as it covers administrative, processing, and service preparation costs.​ Approved refunds will be processed within 3-5 business days from the date of cancellation approval. Refunds will be issued via the original payment method unless otherwise agreed upon.​

Rental Deliveries Outside the Tampa Bay Area

We are based in Tampa, Florida, and we operate around the region. We will try our best to deliver to areas further away from Tampa, and depending on the additional time and mileage required to travel to the event site, an additional long-distance delivery fee may be subject to charge.
